Our All-Inclusive Fee

At ClubExpress, we believe in keeping pricing simple, so that each club or association has a clear idea up front of what it will pay for our products and services. So we don’t confuse things with multiple versions and we certainly don’t put all the good stuff into special "premium" packages. Everything described on this web site is included in our all-inclusive fee.

Up to 500 members	40¢ per active member per month (= $4.80 per member per year.)
501 to 1000 members	35¢ per active member per month (= $4.20 per member per year.)
1001 to 2000 members	30¢ per active member per month (= $3.60 per member per year.)
2001 to 3000 members	25¢ per active member per month (= $3.00 per member per year.)
3001 to 5000 members	20¢ per active member per month (= $2.40 per member per year.)
More than 5000 members	Please call to discuss your needs

With ClubExpress, you don't pay for Expired members. The fee above is for currently paid-up members only. (But we leave the expired members in the database in case they come back later to renew their memberships and become active again.)

If your club or association provides "family" or "business" memberships, with a primary member account and additional family members or employees underneath this account, the secondary memberships are charged at half the rate of primary or solo members.

This fee is charged monthly per active member in the database. At the end of each month, we count the number of primary, active members in the database for your organization multiplied by the fee, then do the same for secondary members, and withdraw the net amount from your bank account. The fee then covers the following month of service. There is no long term contract; you can cancel at any time.

There is a minimum monthly fee of $10 (equivalent to 25 primary members.)

Transaction Fees and the Merchant Account

ClubExpress does NOT charge a separate "per-transaction" fee as do many of our competitors. (Their pricing suddenly gets a whole more expensive when you add in the per-transaction fees charged for each member signup, renewal, event registration, donation, etc.)

A credit card merchant account is built into ClubExpress. When you sign up with us, you automatically have use of this account. We pass through the fees from our merchant processor to you at our actual cost, without markup, as if you had established your own credit card merchant account. Here are the recently lowered rates:

Visa 2.39% + 20¢

Mastercard 2.39% + 20¢

American Express 3.30% + 20¢

Discover Card 2.77% + 20¢

Credit Card Chargebacks $15.00

Charges appear on member credit card statements as "ClubExpress" with our toll-free number if people don't recognize the charge. We also tell this to members on the payment screen and in two confirmation emails. The funds flow into our bank account and we then transfer them to you via a direct bank-to-bank ACH transfer, three times each month (on the 10^th, 20^th and last day of the month.)

Other Fees

There are a couple of other charges which may be incurred:

One-time setup fee of $150. This fee includes support and our time to convert your existing membership database and separate mailing list into ClubExpress's online databases.
If you enable QuickBooks® Integration (to allow transactions, payments, credits and ClubExpress fees to be exported from your ClubExpress website so that you can import them into your QuickBooks company file) an additional $100 one-time setup fee will be charged.
When we send mail or packages on your behalf, we pass through the actual USPS postage or shipping charges plus a small processing fee. For example, if the system is configured to send renewal notices by email, we will send a printed renewal notice to members without an email address. The cost is 42¢ plus 20¢ processing per notice.
When non-members register for events or make a donation through the web site and pay by credit card using the built-in merchant account, we will charge an additional transaction fee for the convenience of using your web site and the merchant account built into the web site. This fee is above the event registration fee; for example, if your event costs $20 for non-members, we will charge $22 and keep $2, and you will still receive $20.

This fee is not charged when members register for events or make a donation, or if non-memers register for an event or make a donation and then pay by check or cash. This fee is also not charged if you have your own merchant account.

What We Don't Charge For

Web site hosting. It's included in the fee.

Internet traffic. Your web site can be as busy as you can make it.

Disk space. Your web site can be as large as you want.
Photos. You can have as many high-res photos on your site as you want.
Emails. You can send as many emails to your members and non-members as you want.
Technical Support. Call for help as many times as you need to solve your problems.
Member Support. Your members can call for help whenever they need.
Expired members. Their information stays in the database in case they renew.

Custom Programming

Some clubs and associations have special needs, perhaps a unique way of calculating membership dues, or a special format for the membership directory, or specific reports. ClubExpress supports modules which are available for one club or association only, integrated seamlessly into your web site as if they have always been there.

If you have such special needs, please call us to discuss. We will work with you to document your needs, then provide you with a custom quote to develop the requested functionality.

Another feature of ClubExpress is the ability to install custom templates and themes. These control the overall layout as well as the look and feel of your web site. ClubExpress ships with a number of built-in templates and themes, but we can also install custom templates that match the look and feel of your existing web site for your club or association only. There is an additional fee for this service which varies based on the complexity of the custom template; please call us to discuss.

Logistics Services

ClubExpress also offers logistics services to clubs and associations, including the printing of newsletters and special mailings, new member packets, membership cards, event registration packets and other back office functions. Fees vary based on your requirements.

For example, if you want member signup and renewal checks mailed to us for processing, the fee is 50¢ per member. If you want us to process an annual member packet including the membership card, the cost is $1.50 - 2.00 per member, depending on the number of pieces being printed and inserted.

Run ClubExpress Yourself - Platform Licensing

Finally, ClubExpress is also available as a platform license, where you run the software in your own data center on your servers. A platform license is suitable for the following organizations:

Universities and colleges, to run on-campus student clubs and alumni clubs;
Larger school districts with many student clubs, sports teams, bands and PTOs;
Large corporations that sponsor employee clubs;
National clubs with hundreds of local chapters (eg. service clubs);
ISPs that want to offer ClubExpress to local clubs in their area;
Government departments at the federal, state or local levels that support or sponsor membership based organizations.

The purchase price is based on the number of clubs or associations that you want to run under the platform. There is also an annual maintenance fee which includes all updates to the software and unlimited support.
